IRecommendations for Authors Before Submitting an Article

Submitting an article to the «Lechaschi Vrach» Journal implies that:

  • The work has not previously been published in another journal.
  • The work is not under consideration for publication elsewhere.
  • All co-authors agree with the publication of the current version of the article.

Before submitting the article for review, ensure that the file(s) contain all the necessary information in both Russian and English, that sources of information in figures and tables are indicated, and that all citations are correctly formatted.

The editorial board of the «Lechaschi Vrach» Journal recommends that authors use the following checklists and guidelines developed by international health organizations (EQUATOR, Enhancing the Quality and Transparency of Health Research) when preparing original articles and other materials:

The title page includes the following elements (in Russian and English):

Author's name (authors' names)

Authors are individuals who have made a significant intellectual or scholarly contribution to the research and its output and who have agreed to take responsibility for their work. In addition to being responsible for their own part of the work, authors must be able to specify who among their co-authors is responsible for the other parts of the work.

The «Lechaschi Vrach» Journal adheres to the following authorship criteria:

  1. Substantial contribution to the conception and design of the study, data collection, or data analysis and interpretation.
  2. Preparation of the article or revising it critically for important intellectual content.
  3. Final approval of the version to be published.

Individuals who do not meet the criteria for authorship should not be listed as authors. The names of individuals who do not meet the criteria for authorship but provided other support should be listed in the «Acknowledgements» section.

When listing authors' names in Russian, initials and patronymic should follow the surname (e.g., Ivanov P.S., Petrov S.I., Sidorov I.P.).

When listing authors' names in English, the following format should be used: «First name, patronymic initial, surname» (e.g., Ivan I. Ivanov). Surnames in English must be written in accordance with the foreign passport or as they were indicated in previously published articles. If the author does not have a foreign passport and/or previous publications, the BSI standard must be used to transliterate surnames and first names.

The total length of the manuscript (experimental research, lectures, and reviews) should not exceed 6 000 words including tables and references. For clinical reports, the word count should not exceed 4 000 words, and for brief reports or letters to the editor it should be no more than 2 000 words. The word count can be checked in Microsoft Word through the menu («File» – «View Document Properties» – «Statistics»). If the author believes that the article's length exceeds the limits for justifiable reasons and cannot be reduced, the decision to publish will be made by the editorial board upon the reviewer's recommendation.

Text Format

The manuscript should be typed in Times New Roman with a 12 point font size, a line spacing of 1.5 pt, and a 2 cm margin on all sides of the text. Word hyphenation should not be used. All redundant spaces and line breaks should be removed from the text (automatically through Microsoft Word's «Find and Replace» service). The total length of the manuscript including tables and references must not exceed 20 000 characters (10 A4 pages). Italics should be used for emphasis but not underlining (except for URLs). All illustrations, charts, and tables should be placed within the text at appropriate locations (preferably close to where it is first referred to in the text), not at the end of the document. All pages should be numbered. The text should be submitted in Microsoft Word (DOC, DOCX) or Rich text format (RTF).

The manuscript file should include all the information for publication including images and tables. The manuscript's structure should follow the template:

Additional Information (in Russian, English, or both languages)

Conflict of Interest

A conflict of interest is a situation in which a person or organization has competing or conflicting interests that could affect editorial decisions. Conflicts of interest can be potential or actual, conscious or unconscious. Personal, political, financial, scientific, or religious factors can influence objectivity.

Authors must disclose potential or actual conflicts of interest related to the study and notify the editor about any real or potential conflicts by including this information in the relevant section of the article.

A conflict of interest can be any situation (financial relationships, employment, or affiliation with institutions that have a financial or political interest in the published materials, official duties, etc.) that could influence the author and lead to the concealment, distortion, or misinterpretation of data. The presence of a conflict of interest among one or more authors is not grounds for rejecting the publication. However, if the editorial team identifies a concealed potential or actual conflict of interest, this may result in the manuscript being rejected.

If there are no competing interests to declare, the authors should provide a confirmation statement in their manuscript, e.g., «The author declares no conflict of interest».

Sponsorship Information

The source of funding for the research and the publication process (foundation, commercial or governmental organization, private individual, etc.) should be indicated. The amount of funding does not need to be disclosed.

Acknowledgements

Authors may express their gratitude to individuals and organizations that contributed to the publication of the article but are not its authors.

This section lists all sources of research funding as well as acknowledgments to individuals who contributed to the research but did not qualify for authorship. Participation in the work on the article includes: recommendations for improving the research, providing research space, departmental control, financial support, specific types of analysis, providing reagents/patients/animals/other materials for research.

References

The bibliography (reference list) should be provided at the end of the article and formatted according to GOST R 7.0.5-2008. Each reference should be placed on a new line with a serial number. The author is responsible for the accuracy of the references.

  • The references should be listed in the order of citation, NOT in alphabetical order.
  • The number of cited works: up to 20 in original articles and lectures and no more than 30 in reviews.
  • References must be identified in the text by consecutive Arabic numerals in square brackets.
  • The bibliographic description of each reference should include ALL AUTHORS. If the work has four or more authors the abbreviation «et al.» or «и др.» should be used after the third author's name. It is not acceptable to abbreviate the article title. Titles of articles written in Cyrillic should be transliterated and the title of the publication should be translated into English. The titles of English-language journals should be cited according to the MedLine database. If the journal is not indexed in MedLine, its full title must be provided. Russian journal titles cannot be abbreviated.

The format of reference lists should meet the requirements and standards of MedLine (U.S. National Information Standards Organization ANSI/NISO Z39.29-2005 (R2010), ensuring the article's future indexing in international databases. When citing journal articles (the most common source of information for citation), the following template should be followed:

Author A.A., Co-author B.B. Title of the article // Journal Title. Year; Volume(Issue): pages–pages.

Ethics Compliance

To publish the results of original work it is mandatory to indicate whether signed informed consent was obtained from study participants. For studies involving animals, the research protocol should comply with ethical principles and norms for conducting biomedical research involving animals. In both cases, authors are required to describe in their manuscripts ethical approval obtained from an appropriate committee (providing the name of the relevant organization, its location, protocol number, and the date of the committee meeting).

Supporting Documents

When submitting a manuscript to the editorial office, authors should additionally upload files containing scanned images of the completed and certified supporting documents (in *.pdf format). Supporting documents include a cover letter from the author's place of work with the seal and signature of the organization's head as well as signatures of all co-authors (a separate cover letter must be provided for each organization mentioned in the manuscript).

II. How to Submit an Article for Review

The manuscript is submitted to the editorial office online via lvrach@osp.ru  or on the website of the journal “Lechaschi Vrach” www.journal.lvrach.ru. The manuscript file should be submitted in Microsoft Word (*.doc, *.docx, or *.rtf) format.

III. Interaction Between the Journal and the Author

The corresponding author is responsible for communicating with the Journal. The Journal's editorial office communicates primarily with the corresponding (contact) author although communication letters can also be sent to all co-authors for whom an email address is provided.

All articles submitted to the «Lechaschi Vrach» Journal undergo a preliminary assessment by the Journal's executive secretary of the manuscript's suitability for publication, including a check for compliance with formal Journal's requirements. At this stage, the article may be returned to the author(s) for revision with a request to correct errors or add missing data. Manuscripts that do not comply with the Journal's aims, are not within the Journal's scope, lack originality, or have low scientific value may be rejected at this stage.

If the manuscript passes the initial assessment, the responsible editor forwards the article to the reviewers with an indication of the review deadlines. The author receives a corresponding notification.

In case of dispute, the editor may decide to consult several specialists and the editor-in-chief.

If the reviewers give positive recommendations, the article is passed on to the editor for preparation for publication.

If the manuscript needs to be substantially improved, the reviewers' comments and suggestions are sent to the author. The authors are expected to address the comments and revise the manuscript within two months. If within this period the author does not notify the editorial office of the planned actions regarding manuscript revision, the article is removed from the publication queue.

In case of rejection, the editorial office sends the corresponding decision to the author.

If the manuscript is accepted, the editorial office will give a final check of the manuscript to the responsible (corresponding) author. The authors are expected to reply within two days, otherwise the manuscript's layout is considered approved.

IVProcedure for Appealing an Editorial Decision

If the author disagrees with the reviewers' and/or editor's conclusions or comments, they may appeal editorial decision. To do so, the author needs to:

- Revise the manuscript according to the comments of the reviewers and editors.

- Clearly explain the position on the issue in question.

Editors encourage the resubmission of manuscripts that could potentially be accepted but were rejected due to the need for significant revisions or additional data collection. They are also willing to explain in detail what needs to be corrected in the manuscript for it to be accepted for publication.

VActions by the Editorial Office in Case of Plagiarism, Data Fabrication, or Falsification

If research misconduct, i.e., unethical behavior, plagiarism, data fabrication, or falsification, is discovered, the editorial office follows COPE guidelines.

«Unethical behavior» refers to any to actions and behaviors by researchers encompassing improper handling of research subjects or deliberate manipulation of research data resulting in a misrepresentation of the research findings. This also includes behavior that does not conform to accepted ethical and scientific standards.

Research misconduct does not include honest error or honest differences in design, conduct, interpretation, or judgement in evaluating research methods or results, or misconduct (including gross misconduct) unrelated to the research process.

VICorrection of Errors and Retraction of Articles

If the manuscript contains errors that affect its interpretation but do not distort the research results and scientific meaning, they may be corrected by replacing the article's PDF file and publish a correction notice within the article and on the article's page on the Journal's website.

If the manuscript contains errors that distort the research results, or in the case of plagiarism or unethical behavior involving data falsification and/or fabrication, the article may be retracted. The retraction can be initiated by the editorial office, the author, the organization, or a private individual.

A retracted article is marked with «Article Retracted», and information about the reason for the retraction is placed on the article's page. Information about the retraction is also sent to the databases where the Journal is indexed.

The rejection rate is 35%.

VII. Use of Artificial Intelligence in Article Preparation

Given an increasing use of AI-based programs in the preparation and writing of scientific articles, the editorial board of the «Lechaschi Vrach» Journal emphasizes the following principles.

  1. Chatbots, such as ChatGPT (and similar tools), under no circumstances can be listed as authors or contributors to the preparation of an article. AI-based programs and tools do not meet the criteria for authorship because they cannot (and do not) bear responsibility for the work presented, cannot declare the presence or absence of conflicts of interest, and cannot manage copyright.
  2. The use of chatbots or other AI-based programs is not prohibited in article preparation as they can be an effective tool to improve the clarity, style, and coherence of scientific writing. In some cases, these programs can be useful for editing text, searching for relevant literature, collecting and analysing data. However, chatbots often produce false information (literally «fabricating» non-existent facts and references to publications that never existed), so authors need to verify the information received from chatbots.
  3. If AI tools were used in manuscript preparation, this information must be disclosed in the article. Always specify the version of the program and the date of its use.
  4. The sole responsibility for the content of the final version of the manuscript submitted to the «Lechaschi Vrach» Journal lies with the author, regardless of what AI tools and to what extent were used.
  5. The «Lechaschi Vrach» Journal uses anti-plagiarism tools to detect AI-generated text.

The «Lechaschi Vrach» Journal aligns with the position of the international publishing community regarding the use of AI in preparing scientific articles, as outlined in the following documents: Chatbots, Generative AI, and Scholarly Manuscripts, Artificial intelligence (AI) in decision making.

The Journal uses the «Scientific Publishing Neuroassistant» software for handling manuscripts at all stages. The Neuroassistant is available to authors for article analysis, to reviewers, and to editors for preparing articles for publication.

The «Scientific Publishing Neuroassistant» includes the following services:

  • Bibliographic reference recommendation service
  • Keyword recommendation service
  • Citation source search service
  • Quality assessment of article formatting

The reviewers and editor of the «Lechaschi Vrach» Journal receive a summary report on the author's use of the Neuroassistant services. The reviewers assess the appropriateness of the Neuroassistant's recommendations. The editor must acknowledge in the final version of the manuscript the use of AI tools in preparing the article for publication.

Only a human can interpret the results of the Neuroassistant services and make a decision on the appropriateness of the proposed corrections and additions.

The Neuroassistant cannot, under any circumstances, be listed as the author of the article. Authors, reviewers, and editors may, but are not required to, accept all suggested corrections and additions from the Neuroassistant. The responsibility for using the corrections and additions suggested by the Neuroassistant lies with the author, reviewers, and editor.

Informed Consent/Consent for Publication

The «Lechaschi Vrach» Journal requires that informed consent/publication consent be provided for any study in which an individual or a group of individuals can be identified. This consent form is also necessary when deceased individuals are mentioned in the study. Consent must be obtained for the publication of clinical cases, photographs, X-rays, etc.

Authors must provide a statement to the editorial office of the «Lechashchi Vrach» Journal confirming that informed consent was obtained from the patient or their representative. The published article will include information indicating that such consent was obtained.

Information that must be included in the informed consent

  1. The patient's name and signature.
  2. If the patient is not the signer, the relationship of the signer (i.e., the proxy) to the patient must be stated.
  3. If one person is signing for a family or other group, that person should attest that all relevant members of the family or group have been informed.
  4. If proxy consent is obtained, the form should include a statement to indicate that the individual or group do not have legal, mental, or physical capacity to consent and the reason why. If such reasons exist, they must be specified (e.g., underage children, persons with cognitive or intellectual disabilities, or deceased persons).
  5. The person obtaining informed consent must be authorized to do so.
  6. The form should clearly indicate that even with the best efforts of research staff at confidentiality, the Journal cannot guarantee anonymity.
  7. The form should indicate that the patient may revoke consent at any time before publication, but once the information has been published, revocation of the consent is no longer possible.
  8. The form should make it clear what current and further uses might be made of the published manuscript, including as applicable publication in print or online.
  9. The form should indicate whether or not the patient or proxy has seen the final version of the manuscript to be published. If a final version has not been shown, it must be clear what the patient or proxy has seen and that he or she has agreed to publication without having seen the final version of the article.
